Guest Safety & Insurance Guide
A successful booking starts with a clear plan and a conversation with the host. Use this guide to confirm that the venue fits your activity and prepare the people joining you.
Guests are responsible for their activities and participants under their direction or control. VenueMagnet connects hosts and guests; it does not inspect venues, supervise activities, verify insurance or guarantee a venue's safety or suitability. This guide is general information, not legal or insurance advice.
Before booking
- Read the complete listing, house rules, restrictions and booking terms.
- Confirm your activity, attendance or crew count, schedule, setup and cleanup needs with the host.
- Discuss vendors, equipment, alcohol, amplified music, vehicles, animals, special effects and other unusual activities before committing.
- Ask about known hazards, including pools, water features, stairs, animals and equipment, and discuss accessibility needs.
- Verify capacity, emergency exits, access arrangements and restricted areas. Confirm that the planned setup and attendance fit the venue's limits.
- Confirm material information directly with the host or venue, especially when a profile is unclaimed. Listing information may be incomplete or out of date.
Keep important agreements in VenueMagnet messages. Discuss material changes with the host before proceeding.
Insurance and permits
Determine and obtain insurance appropriate to your activity, participants, vendors and equipment. Some hosts require event or production liability insurance, a Certificate of Insurance (COI), or Additional Insured status. Ask about those requirements before purchasing a policy and provide required documentation before the booking begins.
Even when the host does not require insurance, consider the risks of injury, property damage and equipment loss. Explain your activity to a licensed insurance professional and confirm applicable coverage, exclusions, limits and conditions. Existing policies may not cover the planned use.
VenueMagnet does not provide or verify insurance. A COI provides insurance information; it does not create or change coverage. Additional Insured coverage depends on the policy and endorsements, and neither guarantees coverage for a particular claim. Read the insurance FAQs for more information.
Determine which permits, licenses and other requirements apply to your activity and obtain any required approvals. Depending on the activity, requirements may concern filming, special events, alcohol, food service, amplified sound, parking or special effects. Confirm requirements with the relevant authorities; the host's acceptance does not establish that the activity is legally permitted.
During the booking
- Follow venue rules, agreed activities, occupancy limits and booking times.
- Share relevant rules and safety information with attendees, invitees, crew, vendors and contractors. Supervise those under your direction or control, including children.
- Respect restricted areas, protect the property and use equipment only as authorized.
- Keep exits and access routes clear, and know how to contact the host or designated onsite contact.
- Raise safety concerns promptly and stop activities you reasonably believe are unsafe.
Emergencies and damage
For emergencies or immediate threats to safety, contact emergency services first. Do not wait for a response from VenueMagnet support.
When safe to do so, notify the host about injuries, hazards or damage. Document relevant conditions with photographs or video, preserve messages and other records, and contact applicable insurance providers directly when necessary.
Report property damage promptly through VenueMagnet messages so there is a record. Hosts and guests are responsible for addressing damage between themselves and with their insurance providers when applicable. VenueMagnet support may assist with platform records and communications but does not determine liability, provide property-damage insurance or administer insurance claims.
See the injury FAQ and property-damage FAQ for more information.
Before leaving
- Leave the venue in the agreed condition and complete cleanup within the agreed booking period.
- Remove your equipment and belongings, and follow the host's checkout and access instructions.
- Confirm any concerns with the host and keep relevant condition photos and communications.
You are responsible for damage and other amounts for which you are legally or contractually responsible. Review the Terms of Service and the host's agreed rules.
